IT for online stores and the accounts and devices behind them

E-commerce businesses run on platform accounts, payment and shipping integrations, warehouse devices and a small team wearing many hats. We secure the accounts and devices behind your store and help you prepare for the sales periods that matter most.

Technology challenges for online retailers

  • The business lives in admin accounts

Your storefront platform, payment provider, marketplace seller accounts, ad platforms, email marketing and shipping tools each hold revenue or customer data. Staff, agencies and freelancers often share logins to these accounts.

  • Many third-party apps and integrations

Inventory, reviews, shipping, accounting and marketing apps are granted access to store data. Few businesses keep track of which apps still have permissions or who installed them.

  • Warehouse and fulfilment depend on small devices

Label printers, barcode scanners, packing station PCs and warehouse Wi-Fi must work during every shipping window. A failed printer can delay hundreds of orders.

  • Peak sales periods leave no margin

Black Friday, Cyber Monday, holiday shipping cut-offs and product launches concentrate orders and attention. They are also when attackers expect teams to be distracted.

Risks to your store and customers

  • Takeover of the store owner or staff account, leading to changed payout details, stolen customer data or fraudulent discount codes
  • Shared passwords with agencies and freelancers who no longer work with you
  • Phishing that impersonates the platform, payment provider or a marketplace to steal credentials
  • Third-party apps with excessive permissions left installed after they are no longer used
  • Warehouse or office internet failure during a shipping cut-off
  • Customer data exported to spreadsheets on unmanaged laptops

Microsoft 365 as the identity hub

Many online retailers start with a collection of free accounts and personal email addresses. Microsoft 365 with Entra ID can become the single identity for your team: one business account per person, protected by multifactor authentication, used to sign in to other platforms wherever single sign-on is supported. When someone leaves, disabling one account removes access to everything connected to it.

We also set up shared mailboxes for customer service and order inquiries, Teams for coordination between the office and the warehouse, and SharePoint for product data, supplier documents and procedures. Sender authentication records for your domain help your order confirmations reach customers instead of their spam folders.

Continuity for peak season and beyond

  • A pre-peak checklist covering warehouse devices, spare label printers, connectivity and staff access
  • Backup internet at the warehouse or fulfilment site with automatic failover
  • Documented recovery steps for each critical platform account, including who holds the owner role and backup codes
  • Backups of Microsoft 365, product data and business records stored outside the storefront platform
  • A change freeze on non-essential system updates during major sales events

Security controls for platform accounts and payment data

  • No shared logins: individual staff and agency accounts with the minimum permissions they need
  • Owner and administrator accounts protected with hardware keys or app-based authentication and stored recovery codes
  • Quarterly review of installed apps and integrations, removing those no longer in use
  • Payment card data handled by your payment provider rather than stored on your systems, supporting your PCI DSS responsibilities
  • Endpoint protection and disk encryption on every laptop and warehouse PC
  • Prompt removal of access when employees, agencies or freelancers finish their work

How we work with an e-commerce business

  1. Inventory accounts and apps

We list every platform, administrator, shared login and installed integration that touches your store or customer data.

  2. Lock down ownership

We move to individual accounts, enable strong multifactor authentication and secure recovery options for owner accounts.

  3. Stabilize the warehouse

We standardize packing station devices, improve Wi-Fi coverage and add backup connectivity.

  4. Prepare for peak

We run a readiness review ahead of your busiest sales periods.

  5. Operate and review

Ongoing support under the agreed scope, with quarterly reviews of access and apps.

Store development and payment compliance

We do not build themes, apps or custom integrations; Mars Innovation Technology, our sister brand, handles automation and custom software. PCI DSS obligations remain with you as the merchant; we support related technical controls only.

Frequently asked questions

Do you manage our Shopify store?

We secure the accounts, devices and email around your store, review staff and app permissions, and help with platform security settings. Store design, apps and product management stay with your team or agency.

How do we safely give our agency access?

Use the platform’s collaborator or staff account features with only the permissions the agency needs, never a shared owner login. We help set this up and review it periodically.

Are we responsible for PCI DSS?

Yes, merchants hold PCI DSS obligations, though using a hosted payment provider usually reduces their scope. We support related technical controls but do not assess compliance.

Can you support our warehouse?

Yes. We support packing station PCs, label printers, scanners, Wi-Fi and internet at your warehouse. On-site visits are confirmed per address in Metro Vancouver, the Fraser Valley and Calgary.

Can you help automate order processing?

Automation and custom software are handled by our sister brand Mars Innovation Technology. We can introduce you and coordinate the IT side.
