Why Microsoft 365 needs ongoing attention

Signing up for Microsoft 365 is easy. Running it well is not. Over a few years most small tenants collect unused licences, shared mailboxes nobody owns, Teams created for one meeting, SharePoint sites with open sharing links and a handful of former employees who were never fully removed. Default security settings are rarely enough on their own.

Our Microsoft 365 services treat the tenant as a business system that needs an owner. We manage the user lifecycle, keep licensing tidy, apply sensible security policies, and plan changes so staff are not surprised when something moves.

Common problems we fix in Microsoft 365 tenants

  • Paying for licences assigned to people who left months ago
  • Multifactor authentication enabled for some users but not enforced
  • Global administrator rights held by everyday user accounts
  • Files shared with anyone who has the link, including outside the company
  • No backup beyond Microsoft's retention, so deleted data cannot be recovered after the retention period
  • Laptops that are not enrolled or managed, so lost devices cannot be wiped

Microsoft licences are a separate cost from our services. We can advise which plans fit your users and help you right-size them, and licensing is either billed separately or purchased directly from Microsoft, as set out in your quotation.

Frequently asked questions

Can you take over a tenant someone else set up?

Yes. We start with a review of administrator accounts, security settings, licensing and sharing, document what we find, and agree priorities with you before changing anything significant.

Doesn't Microsoft already back up our data?

Microsoft keeps the service running and retains deleted items for limited periods, but it is not a substitute for an independent backup you control. A Microsoft 365 backup service lets you restore mail and files beyond those retention windows.

How long does a migration to Microsoft 365 take?

It depends on the number of mailboxes, the volume of data and the source platform. Your migration quotation sets out the plan, cut-over approach and estimated timeline after discovery.

How is Microsoft 365 administration priced?

Ongoing administration is priced per user per month. The Microsoft 365 pricing calculator shows proposed figures, and your written quotation confirms them. Licences and migration projects are priced separately.
