What lifecycle management is

Every piece of technology has a lifecycle: it is specified, purchased, deployed, maintained, and eventually retired. Most small businesses manage only the middle of that cycle. Equipment is bought when something breaks, kept until it fails, and disposed of in a storage closet. The result is lumpy spending, a fleet of mismatched devices, and old hardware running past the point where the vendor still issues security updates.

Technology lifecycle management turns that into a plan. We keep an accurate register of what you own and when it was bought, track manufacturer warranties and Microsoft and vendor end-of-support dates, and translate that into a rolling forecast of what needs replacing, when, and roughly what it will cost. Each quarter, the forecast is reviewed against your hiring plans and budget.

At the end of the cycle we retire devices properly: data wiped or drives destroyed according to an agreed method, accounts and licences reclaimed, and the register updated, so old laptops are never a loose end.

Problems lifecycle management prevents

  • Surprise capital expenses

A server and three laptops fail in the same quarter, and the replacement bill lands with no budget behind it.

  • Unsupported devices still in use

Computers that can’t run a supported version of Windows, or switches and firewalls past vendor end-of-life, quietly remain in production.

  • A mixed fleet that is hard to support

A dozen different laptop models bought from different retailers, each with its own drivers, docks and quirks.

  • Retired devices with data on them

Old computers and drives sitting in a closet or sold privately without documented data wiping.

Key capabilities

  • Asset register

Serial numbers, models, purchase dates, assigned users, locations and warranty status for computers, servers, network equipment and peripherals in scope.

  • End-of-support tracking

Microsoft and manufacturer lifecycle dates mapped to every operating system, server and network device, with alerts well before deadlines.

  • Refresh forecasting

A rolling multi-year forecast of replacements grouped by quarter, so purchases can be spread out rather than clustered.

  • Standard specifications

Approved models and configurations for each role, which simplifies support, imaging and spare parts.

  • Deployment coordination

Ordering through IT procurement, enrolment with Windows Autopilot and Intune where used, data transfer and old-device collection.

  • Secure retirement

Data wiping or drive destruction through an agreed method, licence reclamation, certificate-of-disposal records from the disposal partner, and register updates.

Scope at a glance

Asset classes and review frequency are defined in your proposal.

Typically included

  • Creation and upkeep of the asset register for in-scope asset classes
  • Warranty, subscription and end-of-support date tracking
  • Rolling three-year refresh forecast reviewed quarterly
  • Recommended standard device specifications by role
  • Coordination of deployment and retirement for replaced devices
  • Records of data wiping or disposal for retired assets

Requires separate scope or quotation

  • Purchase price of hardware, software and licences
  • Leasing, financing and tax advice
  • Physical destruction services, which are provided by a disposal partner
  • Assets outside agreed classes, such as phones or AV equipment, unless added
  • Large deployment projects such as full-office refreshes, quoted separately

Tools and sources we use

  • Remote monitoring and management inventory data from managed devices
  • Microsoft Intune and Entra ID device records
  • Manufacturer warranty lookups for Dell, HP, Lenovo and Apple
  • Microsoft Lifecycle Policy dates for Windows, Windows Server and Office
  • Vendor end-of-life notices for firewalls, switches and access points
  • Windows Autopilot and Apple Business Manager for new device enrolment
  • Spreadsheet or dashboard reporting shared with finance

Who this is for

  • Owners who hate surprise invoices

Businesses that want technology spending to be planned like any other operating cost.

  • Finance-led organizations

Controllers and CFOs who need forecasts for budgeting, capital planning and lease-versus-buy decisions.

  • Growing teams

Companies hiring regularly that need a standard laptop ready for each new starter.

What changes

  • Replacement costs forecast years ahead instead of discovered in a failure
  • Fewer devices running past vendor security support
  • A standard fleet that is quicker and cheaper to support
  • Faster onboarding with pre-specified equipment
  • Documented, privacy-aware disposal of old hardware
  • Clear data for budget meetings and lease decisions

How it works

  1. Inventory

We build the asset register from monitoring data, Intune records and a physical check where needed.

  2. Lifecycle analysis

Each asset is matched to warranty and end-of-support dates and assessed for condition and fit.

  3. Refresh forecast

You receive a rolling forecast and recommended standards, with estimated costs clearly marked as estimates.

  4. Execute replacements

Approved purchases are procured, deployed and the old devices retired with records kept.

  5. Quarterly review

The register and forecast are updated against your hiring plans and vendor announcements.

Ways to engage

All options are confirmed by a written quotation.

  • Included in Managed IT

Lifecycle tracking and quarterly forecasting are part of our Managed IT packages for covered assets.

  • Health Check baseline

An IT Infrastructure Health Check produces a first asset register and replacement priorities.

  • Refresh project

A scoped project to replace a batch of devices or a server, including deployment and secure retirement.

Frequently asked questions

How often should computers be replaced?

It depends on the role and workload, but many businesses plan business laptops on a cycle of roughly three to five years. We set the cycle with you based on warranty terms, performance needs and budget.

Do we have to buy hardware through you?

No. We can procure equipment for you, but you may buy elsewhere as long as it meets the agreed standard specification so it can be supported.

What happens to data on retired devices?

Devices are wiped using an agreed method, or drives are removed for destruction by a disposal partner. We keep a record of what was retired, when and how.

Is the forecast a quote?

No. The forecast gives estimated costs for planning. Actual purchases are confirmed in a written quotation at the time of ordering.
