Reliable, privacy-aware IT for clinics that cannot stop seeing patients

Medical, dental, physiotherapy, chiropractic, counselling and other clinics depend on a vendor-hosted EMR, a working front desk and staff who can sign in securely every morning. We look after the devices, network, accounts and backups around your clinical systems.

Technology challenges clinics face

  • Everything depends on the EMR

Scheduling, charting, billing and prescriptions usually run in a vendor-hosted EMR. If the internet connection, browser, certificate or sign-in fails, the clinic stops even though the EMR itself is working.

  • The front desk is the bottleneck

Check-in workstations, label printers, scanners for referrals and identification, phone systems and payment terminals all sit at the front desk. A single failed printer driver can create a waiting room backlog.

  • Shared workstations in treatment rooms

Practitioners move between rooms and use whichever computer is free. Shared logins are convenient but make it impossible to know who accessed which record and weaken security.

  • Patient Wi-Fi on the same network

Many clinics offer guest Wi-Fi without separating it from the network that carries clinical workstations and printers.

Risks to patient information and clinic operations

  • Phishing that steals a practitioner’s Microsoft 365 or EMR password and exposes patient communications
  • Patient information sent through unencrypted email or saved to desktops and USB drives
  • Shared or generic accounts that prevent accurate access records
  • Internet outages that cut off the hosted EMR and phones at the same time
  • Ransomware on local computers holding scanned documents, imaging exports or billing files
  • Former staff and locum practitioners who still have working accounts

Microsoft 365 in a clinic setting

Clinics use Microsoft 365 for email, scheduling among staff, internal policies and administrative files, while clinical records remain in the EMR. We help keep that boundary clear: patient information stays in the clinical system wherever possible, and email that must carry it uses encryption features available in your licensing.

We configure individual mailboxes, shared mailboxes for reception and referrals, and Teams for internal communication, with multifactor authentication and conditional access applied to every account. Retention and sharing settings are set to support your clinic’s privacy policies, which your privacy officer defines.

Keeping the clinic open during an outage

  • A secondary internet connection with automatic failover so the hosted EMR and cloud phones remain reachable
  • A documented downtime procedure for the front desk, aligned with your EMR vendor’s offline options
  • Spare pre-configured workstation or laptop for reception, ready to swap in
  • Backups of locally stored data and Microsoft 365, with offsite copies
  • Vendor contact lists for EMR, phone, internet and payment terminal providers

Security controls that support patient privacy

  • Unique accounts for every user, with multifactor authentication on email, remote access and the EMR where it supports it
  • Automatic screen lock on treatment-room and front-desk computers
  • Disk encryption on laptops and any device that stores patient information
  • Network segmentation between clinical systems, guest Wi-Fi and payment terminals
  • Prompt account removal for departing staff and locums
  • Short awareness training on phishing and safe handling of patient information

How we work with a clinic

  1. Understand clinic flow

We review your EMR, front-desk equipment, network, phones and how practitioners move between rooms.

  2. Secure accounts first

We replace shared logins with individual accounts where possible and enable multifactor authentication.

  3. Separate and stabilize the network

We segment guest, clinical and payment traffic and add backup internet where the clinic needs it.

  4. Document recovery

We confirm backups, test restores and write a downtime procedure with your clinic manager.

  5. Operate and review

Ongoing support under the agreed scope, with quarterly reviews of access, devices and upcoming changes.

Privacy obligations and advice

Clinics in BC and Alberta may be subject to laws such as BC’s Personal Information Protection Act, Alberta’s Health Information Act or the federal PIPEDA, depending on their circumstances. We do not provide legal advice or compliance assurance. Consult your privacy officer, professional college or legal adviser to determine your obligations; we implement the technical controls you decide on.

Frequently asked questions

Do you support our EMR?

Your EMR vendor supports the application. We support the workstations, browsers, network, printers, scanners and accounts it depends on, and work with the vendor when issues cross both areas.

Can you make our clinic compliant with health privacy laws?

No provider can make that determination for you. We implement technical controls that support privacy-aware operations; your privacy officer or legal adviser confirms which obligations apply.

What happens if our internet goes down?

We recommend a secondary connection with automatic failover for clinics that rely on a hosted EMR, plus a documented front-desk downtime procedure.

Can practitioners still switch rooms quickly with individual logins?

Yes, in most cases. We configure fast sign-in options and screen lock settings so individual accounts remain practical in shared rooms.

Do you visit clinics on-site?

Most support is remote. On-site visits in Metro Vancouver, the Fraser Valley and Calgary are confirmed for your address and scope.
